Help Center
Organise articles into categories and sections, write and publish them, brand your public help center, connect your own domain and preview it as a customer.
The Help Center is a public, searchable site of articles that your customers read on their own. You write the articles in Robylon, group them into categories and sections, and publish them to a web address customers can visit, either a Robylon address or a domain you own.
Open it from Knowledge → Help Center in the left sidebar. It has two pages: Articles, where you organise and write content, and Settings, where you brand the site and connect a domain.
How is the Help Center organised?
Every article lives inside a category and a section. You can add a sub-section as a third, optional level.
| Level | What it is | Needed for an article? |
|---|---|---|
| Category | The top level customers see on the home page, with an icon, a name and a description. | Yes |
| Section | A group of articles inside a category. | Yes |
| Sub-section | A group inside a section. It is the deepest level. | No. Leave it empty to file the article directly in the section. |
The Articles page lists everything in one tree under Category · Section · Article, with each article’s Status, Views (how many times customers have opened it) and when it was Updated. Filter by Status or by Category / Section (picking a level includes everything nested under it), search with Search articles…, and use Expand All or Collapse All to open or close the tree.
How do I create a category, section or sub-section?
Create a category first, then add sections and sub-sections from the category’s row menu.
Add a category
Go to Knowledge → Help Center → Articles and click Add Category. Choose an Icon, enter a Name (for example “Getting Started”) and, if you like, a Description, which is shown to customers under the title. Click Save.
Add a section
Open the category’s row menu and choose Add Section. Give it a name and an optional description, then save.
Add a sub-section (optional)
Open a section’s row menu and choose Add Sub-section.
Two levels under the same parent cannot share a name. Use the row menu to rename a level (Edit Name & Description), change its order (Move Up, Move Down) or move it somewhere else (Move To…).
Deleting a category or section also removes every article inside it from your help center, and cannot be undone.
How do I write an article?
Click New Article, give it a title, write the body, choose where it lives, and click Save.
Start a new article
On Knowledge → Help Center → Articles, click New Article. To start inside a particular section or sub-section, open its row menu and choose New Article Here instead, and the placement is filled in for you.
Add the title
Enter a Title, for example “Completing Your KYC”.
Write the body
Write in Body. The editor supports fonts and sizes, bold, italics, underline, alignment, colours, headings, bullet and numbered lists, blockquotes, tables, images and links. Use Heading 2 for each section of the article: those headings become the “On this page” links on the published article.
Choose the placement
Under Placement, pick a Category, then a Section, and optionally a Sub-section. If the level you want does not exist yet, you can create it from the same list.
Save
Click Save. The article is saved as a Draft. It reaches customers the next time you publish.
To change an article later, open its row menu and choose Edit Article. If you leave the editor with unsaved changes, Robylon warns you before they are lost.
How do I publish articles to customers?
Click Publish at the top of the Articles page. Everything saved goes live on your help center in one go.
- Publish includes every article with the status Draft or Published. A newly saved article needs no other step to go live.
- An Unpublished Changes label appears next to Publish when you have saved work that customers cannot see yet. An article with unpublished changes also shows a marker in the tree, and customers keep seeing its published version until you publish again.
- Changes can take up to 30 seconds to reach customers after you publish.
- Publish is always available, even with nothing pending, so you can publish again if the site looks out of date.
| Status | What it means |
|---|---|
| Draft | Saved and included in the next publish. |
| Published | On your help center. |
| Archived | Off your help center. Customers can no longer find it. |
How do I take an article off the Help Center?
Archive it. Open the article’s row menu and choose Archive. It is removed from your help center and customers can no longer find it.
Archiving is the way to hold an article back, because every saved Draft goes live with the next publish. Remove From Site does not keep an article off: it sets the article back to Draft, so it goes live again the next time you publish. To bring an archived article back, open its row menu and choose Restore. It returns as a Draft.
How do I brand my Help Center?
Set the name, tagline, colour and favicon under Knowledge → Help Center → Settings → Branding, then click Save. Branding changes go live when you save; you do not need to publish.
| Field | What it controls |
|---|---|
| Help Center Name | Shown on the help center home page and in the sidebar. Required. It starts as your workspace name. |
| Homepage Tagline | The line under your name on the home page. It starts as “How can we help?”. |
| Brand Color | The colour used across your help center. Pick a colour or paste a hex code. |
| Favicon URL | Optional. The icon shown in the browser tab. It must start with http:// or https://. Leave it empty to use a square in your brand colour. |
The LIVE PREVIEW next to the form shows your name, tagline and colour as you type.
Where can customers find my Help Center?
At your default Robylon address, and at any domain of your own that you connect. Both appear in Knowledge → Help Center → Settings → Domains.
Your Default Address is a helpdesk.robylon.ai address based on your workspace name. It appears in Domains once at least one article is published, and it is always available, even after you connect your own domain.
How do I connect my own domain?
Click Connect A Domain, enter a subdomain you own, add the DNS records Robylon shows you at your domain registrar, then click Verify. Robylon issues the SSL certificate automatically.
Enter the domain
Go to Knowledge → Help Center → Settings, and under Domains click Connect A Domain. In Domain, enter the address customers will use, such as help.yourcompany.com, and click Connect.
Add the DNS records
The domain card lists the records to add. Click Show DNS record to see each record’s type, host and value, and add them in your domain’s DNS settings. Propagation can take up to 48 hours.
Verify
Click Verify on the domain card. The card shows the current status.
| Domain status | Meaning |
|---|---|
| Pending | Waiting for your DNS records. |
| Verifying | Robylon is checking the records and setting up the certificate. |
| Live | Customers can reach your help center at this domain. |
| Not Found | The records could not be found. Check them at your registrar and verify again. |
Things to know:
- Use a subdomain, such as
help.yourcompany.com. A root domain such asyourcompany.comcannot be connected, because DNS does not allow the required record on a root domain. - Leave the DNS records in place after the domain goes live.
- You can connect more than one domain with Connect Another Domain, and remove one from its card with Remove.
How do I see my Help Center as a customer does?
Click Preview As Customer, at the top of the Articles page or the Settings page. Your help center opens full screen, showing published articles only, so you see exactly what customers see. Click Return To Admin Mode to go back.
Preview after you publish: saved drafts do not appear until they are published.
Do my AI agents answer from Help Center articles?
Not automatically. Help Center articles are stored separately from your Knowledge Base, the content your AI agents answer from. Publishing an article does not add it as a Knowledge Base source.
To let your agents answer from your published articles, add your help center’s public address as a source with Sync Webpage(s) in Knowledge → Source. See Add sources to your Knowledge Base and Keeping sources up to date so the synced pages follow your edits.
What should I read next?
- Add sources to your Knowledge Base: the content your AI agents answer from.
- Managing your Knowledge Base: statuses, tags and where each source is used.
- Keeping sources up to date: refresh synced web pages on a schedule.
